Just released SharePoint reports and documents generator 1.1 version

List reporting by view

In first release you couldn’t just iterate list items from any wanted list. It was a must to have a parent child relation (lookup relation) in place. In this release we implemented a feature which lets you to ignore current context/parent on Repeat tag allowing you to iterate items from any list even if you don’t have any relation in place. So, from now on you can insert any list you want in your reports and more over you can choose a view and report only those items that are filtered by selected view.

For example if you want to have a report of last month orders (which are stored in SharePoint list) all you need to do is to prepare a template with a table and a Repeat tag set on it with following attributes: list set to Orders, view set to Last Month Orders (name of the view), ignoreParent set to true.

As these kinds of reports don’t have current context you don’t need to provide list name and item ID in the URL when calling generator. That means you can call generator from any hyperlink you want (or from custom actions of course). It can be for example a HREF inCWEP or a link in Quick Launch and etc.

Filtering child items by view

Also you can use view attribute of Repeat tag for filtering child items by the view defined in the child list. Imagine you have Tasks items list related to Projects list and your want to generate report about Project plus you want show all not finished Tasks in the same report for particular Project. You need to create a view for not finished tasks, and then set Repeat tag attribute view to the name of the created view.

    Has anyone tried this?
    Understand that there is a limit to 3 items in Repeat tag for free version.
    I’ve tried the free version but it seems like the output document does not save/generate back into the Report document library. I have to upload back into the document library manually..

    What is your custom action? There is possibility to save generated document to the list. If you look at the end of end of paragraph 3 of user guide you can see both versions of custom action – the one which opens document in the MS Word and another – which saves to the list. To save generated document to the list, custom action url should look like (look at docLib and returnFile parameters):

    Got it! I’ve managed to save the generated document to the list. But I’m unable to generate the file name I want.
    For example, I’m trying to create the file name: Service invoice – [Company] [Today Date]

    My custom action url is shown below:
    “/_layouts/generate.aspx?docLib=Sales Documents&conType=Service invoice&docName=Service invoice – &returnFile=No&suffix=Company&listName=” + ctx.listName + “&itemID=” + currentItemID;

    Sorry, I’m noob in Sharepoint..
    How do I append “Today Date” after Company?
    What does listName=” + ctx.listName + “&itemID=” + currentItemID means?

    There is no possibility to add current date to the name of the document in the current implementatiion.

    istName=” + ctx.listName + “&itemID=” + currentItemID describes list item to use as data source to create document

    I just can’t get the right code…!

    Sorry multipe column id id not supported, but you can create calculated column DocumentID with formula

    =CONCATENATE( [Company],[ID])

    and then use that CompanyID in script:

    suffix=CompanyID&listName=” + ctx.listName + “&itemID=” + currentItemID;

    Hello,

    I’m trying SharePoint reports and documents generator 1.0 version and it’s a good product (on MOSS2007 + Word2007).

    However I have 2 problems.

    1) In my SP list, I have a column named Description. Some is the type (text, rich text or ameliorated rich text), when my doc file is generated (filename.dotx), I have :

    – no carrier return when type is text,
    – field description is interpreted as html code source instead of rich text or ameliorated rich text.

    So my question is SharePoint reports and documents generator can use text field (with type to rich text or ameliorated rich text or not ?

    Is it a limitation of v1.0 ?

    2) when I edit the template (dotx), tags have disappeared. How to make them visible again ?

    1. Just for record the most recent version is 1.1 however formated text issue is known and at the moment is not supported (not in 1.0 neither in 1.1)

    2. I assume you purchased MS Word after 11th of January, or for some reason, you have installed patch which removes CustomXML technology from Office. This is because MS lost patient issue about CustomXML – http://www.computerworld.com/s/article/9142627/Microsoft_yanks_Custom_XML_from_Word_offers_patch_to_OEMs . This issue also prevent us from quick fixing issues as now wee need to work out a new way to create templates.

    Can you tell me more about limitations of the free version and what are if it is relevant is there any added functionnalities in the purchased version ?

  10. Correct "return to" setting says:

    Is there a way to set the “return” to yes and have is display a document title? Currently is opens with a title of document1 and is a try to send the page as a PDF attachment it takes the name the first XML field.

      Hi,
      Did you selected all row (hover mouse on first cell left side and double click) before inserting Repeat tag (custom content control)? It is very important to do so.

    Hi!
    After add Field tag at the beginning of the page, I add a table with two rows and two columns.
    Next, I click on first row in table (she becomes grey).
    I insert Repeat tag (custom content control) and set paramenetrs List = Contacts, IgnoreParent = False.
    Next, I insert two Field tag in Repeat tag – for ??? and ??????? (i am from Russia)
    Save file in dotx format (possible in this).
    After load from WSS i see only Feield tag before table, but she is empty!
    ….
    What am I doing wrong?
